What Is Accounts Payable Automation (And What Does It Actually Cost in South Africa?)
Most of what you'll read about AP automation software is written by people selling enterprise platforms to companies with 200-person finance teams. That's not useful if you're running a plumbing business in Gauteng with Sage Start and a bookkeeper who comes in twice a week.
I'm going to give you the real version. What accounts payable automation actually is, what it costs, how to think about it if you're an SME, and what I learned building one that works.
What is AP automation software?
Accounts payable automation is any system that reduces the manual work involved in paying suppliers, tracking what you owe, matching invoices to purchase orders, and chasing or being chased for money.
At the enterprise level, that means platforms like the ones Sage sells at scale. At the SME level in South Africa, it means something different. It means connecting the tools you already use so that invoices get created, sent, tracked, and reconciled without someone manually copy-pasting between spreadsheets, WhatsApp messages, and banking portals.
The two types of accounts payable people usually ask about are trade payables (what you owe suppliers for goods and services) and non-trade payables (things like rent, utilities, tax). Both can be automated, but for most SA SMEs the pain is squarely in trade payables: matching what was quoted, what was invoiced, and what has been paid.
How it works in practice: the plumbing company build
Let me give you a concrete example. I built an AP and AR automation system for a plumbing company. Their process before was typical: the owner would send a voice note on Telegram quoting a job, someone would manually type that into an invoice later, stock was tracked in a separate spreadsheet, and chasing overdue payments was a guilt-ridden, inconsistent mess.
Here's what we built.
The owner sends a voice note on Telegram describing the job. Whisper transcribes it. Claude interprets the transcription and fuzzy-matches the described items and services against the company's actual price list. A draft quote gets generated automatically. The owner sees it in Telegram, confirms or adjusts with a tap, and it goes out to the customer.
Sage Start handles the actual invoice generation and FNB bank reconciliation, because that's what it's good at. Quoting and stock tracking live in Airtable, because Sage Start is not built for flexible quoting workflows.
Then comes the part that actually matters.
The dunning cadence (and why the STOP was the real feature)
We set up an automated dunning cadence: a reminder before the due date, then at +1 day, +3 days, +10 days, and +20 days overdue. Each message is firm but professional. It runs on WhatsApp and SMS via BulkSMS, because those are the channels South African businesses actually respond to.
But here's what I want you to understand. The feature was not the chasing. Every accounts person can chase. The feature was the clean stop.
The moment payment hits the bank account and the feed syncs, the dunning stops. Instantly. No awkward "sorry, please disregard that message" the next morning. We built in a grace window for bank-feed latency, because FNB doesn't always reconcile in real time, and nobody wants to send a stern overdue notice four hours after the client already paid.
That grace window, that clean stop, that awareness of how South African banking actually works in practice. That's the difference between automation that helps your business and automation that embarrasses it.
Sub-par automation that solves 90% of the problem is worse than none. Getting the chasing right but fumbling the stop damages relationships. It needs to be built properly, and it needs maintenance.
What software is used for accounts payable?
For enterprise: Sage Intacct, big ERP platforms, dedicated AP suites. For SA SMEs, the honest answer is a patchwork. Sage Business Cloud or Sage Start for invoicing and reconciliation. Xero if you're in that ecosystem. Then something else for quoting, stock, CRM.
The real question is not "what single platform do I buy?" It's "how do I connect what I already have so it stops leaking time?"
Off-the-shelf SaaS only works if it's genuinely customisable. Most AP platforms are built for a generic workflow. Your workflow is not generic. Your price list structure, your quoting process, your preferred communication channel, your bank's reconciliation timing. All of it is specific.
That's why we build custom with tools like n8n, Airtable, the Sage API, Claude, WhatsApp Business API, and Telegram. Not because custom is always better, but because for most SA SMEs the off-the-shelf option either doesn't exist at their price point or doesn't fit their actual process.

How to automate accounts payable (for beginners)
If you're starting from zero, here's the honest sequence:
- Get your price list clean. If your pricing lives in someone's head or across six WhatsApp threads, no software can help you. Structure it in a spreadsheet or Airtable first.
- Pick your invoicing tool and commit to it. Sage Start is fine for most small businesses. Don't fight it.
- Identify your actual bottleneck. For most SMEs, it's not creating invoices. It's the gap between "job done" and "invoice sent," or the gap between "invoice sent" and "payment received." Automate the bottleneck, not everything.
- Automate follow-ups on a channel people actually read. In South Africa, that's WhatsApp. Every SA business should have WhatsApp automation. It's the best channel for both B2B and B2C.
- Build in the human gate. The owner or manager confirms the quote before it goes out. That's human-in-the-loop done right. Not babysitting 24/7, just completing necessary tasks, an approval, a confirm, and letting the system run.
Agentic AI is not ready for SMEs yet. Don't let anyone sell you a fully autonomous AP agent. Use structured workflows with guardrails until the technology matures. A confirm-in-Telegram button is not a compromise. It's the correct architecture in 2026.
What does AP automation cost?
Enterprise platforms charge monthly per-user fees that don't make sense for a 5-person company. The big names start at hundreds of dollars per month and scale into thousands.
